Role purpose:
The Training Administration Coordinator is responsible for ensuring the smooth and efficient administration of all training and assessment activities within AVWA's registered Training Organisation (RTO). This role plays a key part in maintaining compliance with regulatory standards and supporting the training team's operations across multiple campuses. By managing student records, overseeing audits, and leading a team of administration staff, this role ensures that AVWA delivers high-quality training experiences. The Training Administration Coordinator also supports trainers and assessors to consistently meet and exceed educational standards, ultimately contributing to AVWA’s mission of providing valuable vocational and training services to the community.
What we are looking for:
Manage and implement training and assessment administration activities within the AVWA registered Training Organisation (RTO) including:
- Oversee the management of Student Management System (aXcelerate), students’ learning progress, AVETMISS reporting to comply with ACFE Board guidelines, VET Funding Contract and VRQA Guidelines,
- Manage filing systems and students’ file in line with Records Management policy and procedures and Public Records Act,
- Audit completion of student files and issuing qualifications,
- Prepare and participate in both internal and external audits,
- Provide superior and effective administration supports to students, trainers & assessors, team members and other stakeholders,
- Manage and support team members (Training Administration Officers, Student Support Officers, and trainers & assessors) within the Training and Vocational Services across campuses to achieve great outcomes,
- Collaborate with the Business Development Officer to ensure daily enrollment activities runs smoothly across campuses,
- Guide and support new and current trainers & assessors to ensure they consistently deliver training and assessment at the same high standards and quality,
- Review and conduct each team member’s performance through monthly individual catch-up and yearly performance conversations.
The above list is not exhaustive and the role may change to meet the overall objectives of AVWA. Fulfil other duties as required by management and other department personnel as requested/required
Who you are:
- RTO experience in a similar role,
- Experience with or knowledge of Student Management System (aXcelerate),
- Understanding of VET industry and RTO compliance,
- Excellent communication and interpersonal skills, with an ability to build positive relationship with diverse stakeholders,
- High-level of accuracy and attention to details,
- High-level organisational and time management skills with ability to independently manage workload and prioritise tasks to meet team goals,
- Base in Braybrook and Thomastown offices, travel to other sites when required,
- Have your own car and may travel to AVWA campuses when required.
- Bilingual in English and Vietnamese skills
